What a prepared movement looks like.
An export movement needs a clear description of the goods, destination, value, transport route and intended procedure. The declaration record must also align with the carrier and departure process so that proof of export can be retained where required.

The file should explain what is leaving, why it is leaving, where it is going and who is responsible for the movement.
- Commercial or pro-forma invoice
- Packing and transport information

- Destination and consignee details
- Licences, origin evidence or controlled-goods documents
Coordinate departure
Export clearance is not complete simply because information has been prepared. The declaration, transport booking and port or carrier requirements must identify the same movement. References should reach the party responsible for presentation and departure at the right time.
Retain the evidence
Exporters may need to retain commercial, customs and departure evidence for tax, audit or compliance purposes. We encourage a single shipment file containing the instructions, declaration references, amendments, messages and final handover record.
